Privacy notice
Shiftbay Limited (“Shiftbay”, “we”), part of the City Clean group, runs Shiftbay and decides how the personal information on it is used. This notice explains what we collect, why, and your rights.

What we collect
- Businesses: your name, mobile number, business name and address, and the details of each request (role, times, notes). We text a code to confirm the mobile number is yours.
- Staff: the details you give in the app — name, date of birth, address and postcode, the work you do, right-to-work details, photos of your ID and a selfie, National Insurance number, bank details and an emergency contact — and where you are when you clock in and out.
- Website messages: your name, contact details, message and the internet address it was sent from.

Why we use it
- To arrange and fill shifts, pay staff and invoice clients (our contract with you).
- To check right to work, run payroll and keep records the law requires (legal obligation).
- To keep the service safe, stop misuse and answer your messages (our legitimate interests).

Who we share it with
- Clients see the first name and rating of the people coming to their shift, never their contact details or documents.
- Companies that run parts of the service for us: hosting and database (Supabase, Vercel), text messages (Twilio), and our payroll provider. They may only use it to provide that service.
- HMRC and the Home Office where the law requires it.

How long we keep it
- As long as the law requires — for example right-to-work records for two years after someone stops working with us, and payroll records for as long as HMRC requires — and otherwise no longer than we need it.

Your rights
- You can ask for a copy of your information, ask us to correct or delete it, or object to how we use it. Use the contact page and we will reply within one month.
- If you are unhappy with our answer you can complain to the Information Commissioner’s Office (ico.org.uk).
